Administrative & Operations Coordinator (Hybrid)
About the Role
​
We are looking for a highly organised, proactive and detail-oriented Administrative & Operations Coordinator to support our Director of Sales with day-to-day administrative and operational activities.
This role is ideal for someone who enjoys organising information, communicating with customers, following up on outstanding matters and ensuring business processes are completed accurately and on time. You will play an important role in supporting our sales operations and maintaining the integrity of our business records.
Key Responsibilities

Provide day-to-day administrative and operational support to the Director of Sales.

Maintain and organise customer, contractor, supplier and sales information within Google Drive and internal systems.

Keep records accurate, complete and up to date.

Follow up with customers regarding overdue invoices and outstanding payments.

Contact customers, contractors, agencies and suppliers to obtain missing information or documentation.

Assist with contractor onboarding and offboarding by coordinating and tracking required documentation.

Review timesheets and identify missing, late or inconsistent information.

Track operational tasks, contract renewals, important deadlines and follow-up actions.

Prepare operational reports and support continuous improvement of administrative processes.

Assist with the implementation, maintenance and ongoing administration of the company's CRM system.

Support general business administration and operational activities as required.
Requirements

Previous experience in administration, operations, customer service, sales support, or office coordination.

Excellent organisational and time management skills.

Strong attention to detail and a high level of accuracy.

Excellent written and verbal communication skills in English.

Confident speaking with customers and following up professionally by email and telephone.

Ability to work independently, prioritise workload and manage multiple tasks simultaneously.

Proficiency with Google Workspace (Google Drive, Gmail, Google Docs, Google Sheets).

Basic Microsoft Excel skills.

Experience using CRM systems is an advantage but not essential.

A proactive attitude with a willingness to learn and improve business processes.
Location & Working Arrangement
​
This is a hybrid position that is primarily remote. To ensure a successful onboarding process, the successful candidate will be required to attend our Limassol office at least three days per week during the initial training period. This hands-on training will provide the opportunity to learn our systems, processes and day-to-day operations while working closely with the Director of Sales.
Once the training period has been successfully completed, the role will transition to a predominantly remote working arrangement, with required attendance at the Limassol office on occasions for meetings, training or operational needs.
Location: Cyprus (Hybrid with initial training in Limassol)
